Tent and structure

How many seats are needed for a cocktail party?

On average, we expect to seat 1 person for every 4 people (15-25% of the total capacity). After that, everything will depend on the type of cocktail and the duration.

Can we change the location of the tent a few days before the event?

Yes, this can be validated during the technical survey, provided that the installation is equivalent for both locations (staking, unevenness of the ground, etc.)

How far can we modulate the surface according to the number of guests in the current context?

Usually for weddings, there are no more changes possible 1 month before the event or only minor changes. With the current context (COVID), if there are restrictions we try to be as flexible as possible depending on availability to change the format of the event, if you wish to maintain it (reduction in size, live event...). In the event of a change in the format of the event, a charge may be made for the equipment provided if it is not used.

How much space should a tent have?

Find the areas to be planned according to the number of guests/participants in your event:

For a seated dinner : 
1 m2 / person for a rectangular banquet table (without dance floor)
1.2 m2 / person for a round or rectangular table 1m wide (without dance floor)
Dance floor : 
0.3 m2 / person 
Ceremony or conference : 
0.8 m2 / person 
Cocktail party or standing speech : 
0.5 m2 / person 

Additional space may be required depending on the layout of the event (podium, music group, video projection, cloakroom, etc.)

For the installation of the structure, allow for : 
+ 50cm - 1m (perimeter) for classic tents, yurts, teepees 
+ 2m - 3m (perimeter) for stretch tents, bamboo, silhouette,

Why is renting a tent more expensive than renting a venue?

It is more expensive to host your event in a private space than to rent a venue. 
First of all, setting up and dismantling a reception tent requires more people than renting a venue. Furthermore, a private space is not necessarily suitable for receiving such a large number of guests. Inviting a hundred or more people requires adapted infrastructures in terms of furniture, sanitary facilities, energy... Thus, it is also necessary to foresee transport costs (truck furniture, petrol tolls, drivers...) and logistical organisation (planning, project manager, booking of equipment...).

Since it is an ephemeral structure, you have to build and create everything compared to a place where everything already exists!

Why is renting a structure for a day similar to renting it for a week?

We offer the rental of a tent for one day at a rate similar to that for a week. Indeed, the assembly as well as the dismantling of a structure takes one to two days, which makes it difficult to rent a tent several times a week.

What is the difference between the crystal tent and the crystal awning?

The crystal tent is the classic party tent format with a crystal fabric including the roof, gable ends and curtains/frame. It is a format that can be completely closed.  

The crystal awning has the same format as the crystal tent without the gable ends and curtains (they can be included in the rain quote as an option: in case of bad weather, you can decide to add gable ends and crystal curtains to your awning format 48 hours before the start of the event. If you decide to install the gable ends and/or curtains, you will be charged the full price of the products and the human time required to install them. If they are not installed, you will be charged 50%). This is an open format that can be likened to a "courtyard". 

What is the diameter and depth of the conventional or chemical anchors to the floor and wall?

The diameter of the ground anchors is between 2cm and 5cm.
Depth to ground between 50cm and 1.2m depending on the nature of the soil. 

Chemical anchors on walls and on the ground are smaller around 1-3cm wide, and 10cm - 25cm deep 

For accommodation tipis: 20cm

What is the difference between a silhouette tent and a bamboo tent?

The Silhouette Tent has slim poles which are made of pine, spruce or eucalyptus wood depending on the model.  The shape of the Silhouette Tent is oval while the Bamboo Tent has a rectangular or square shape. The Silhouette Tent offers a better view of the outside. Its curtains roll up and hang from the top and give a clear view. It is possible to add a flag to the top of the silhouette (subject to availability).

The Bamboo Marquee has wider, stronger, arched bamboo poles. It is rectangular or square in shape and the curtains slide to the sides offering a less unobstructed view to the outside. It is a handmade structure made in France. 

How long does it take to erect the tent and floor?

It takes an average of one day to erect a tent and floor. However, this time may vary depending on the size of your structure, access, complexity of the terrain and crew scheduling.

Is a tent noise-isolating?

No, it is a PVC or canvas tarpaulin, which is very poorly insulating from a sound point of view.

 

What are the possibilities for a plan B in case of bad weather for the outdoor cocktail party?

For a cocktail party with buffets, 0.8m2 per person is required (depending on the furniture and layout). There are several possibilities in case of rain: 
- Use an existing covered space (barn, house...)
- Install pagoda tents or stretch tents
- Install parasols, but be careful in case of wind

The installation of tents can be used in case of very good weather (to create shade) as well as for rain. 

We strongly advise against mixing the dinner area with the cocktail area: apart from being a shame not to separate the areas for the event, it is a complicated solution to manage in practice. Also, bear in mind that during the cocktail party, finishing touches can be made in the dinner area.  

Is a ramp mandatory?

No, for a private event the ramp is not compulsory, but it is essential if there is more than 20cm of wedge to access the tent. In this case it can also be replaced by a staircase (subject to availability).


The ramp is mandatory on a public event for PRM access. 

How is the certification of structures carried out?

All of our standard equipment is approved according to C.T.S. standards (Tents and Structures).

For custom-made projects receiving the public, a calculation note and a request for approval is necessary from the administration.

It is up to the organiser to obtain authorisation from the Prefecture or the Town Hall to install the tent on the site and to open it to the public.

At the end of an event, we can provide you with the following upon request in advance 
- a certificate of proper assembly
- have a safety commission, paid for by the client, which is an independent company, intervene to validate the correct assembly and safety of the structures

What happens if the tent I have booked is not available?

We will get back to you very quickly with another proposal. You can then either cancel or choose another model. It is very rare that we have no availability, especially if you confirm your order in advance.

How do you fill in chemical anchor holes in the ground?

When staking in hard ground, such as asphalt or equivalent, the holes are filled with cold asphalt, poured into the cavity and compacted with a plate. The backfilling work involves an additional cost compared to conventional staking in turf. 

How heavy is the ballast?

The weight of the ballast varies according to the structure. 
For small structures between 80 and 300kg per pad.
For larger structures or stretches between 500Kg - 2t
A one tonne pole is approximately 1m x 1m.
There are several types of ballast: 
- concrete the most common
- steel
- sand (rarer)
- water (in this case, a water supply must be provided on site and there must be time to fill the blocks)

Which tents are most suitable for rainy and cold areas?

Tents that can be completely closed with a curtain system: classic party tent, crystal tent, silhouette tent, bamboo tent, yurt.

The stretch tent is less suitable because there are no curtains to close it.

Are all tent models waterproof?

Yes, all tent models are waterproof. 
Only shade sails are not always waterproof.

Is it possible to integrate the catering area directly into the reception tent?

The catering area should be separate, especially as the fumes and use will damage the canvas. In case of a cold buffet it is possible, but there will be noise only if you separate it, which we recommend.
