Privatization of a Paris stadium for an outdoor conference
Organization of the MidSommar du Patrimoine, XXIVᵉ Congress of the CNCGP
The Chambre Nationale des Conseils en Gestion de Patrimoine organized its XXIVth congress on June 21, 2023. To celebrate this Summer Solstice with dignity, the President of the CNCGP wanted the event to take place outdoors, in a venue symbolizing team spirit, without however neglecting comfort and refinement.
With a large number of participants and a program combining round tables, training sessions and various speeches, including one by a former President of the French Republic, the organization of this open-air event required all the expertise and know-how of event professionals.
Exceptional setting for a congress in the heart of a stadium
For this annual convention, Atawa's teams created a number of spaces on the lawn of a Paris stadium.
- 6 large Silhouette tents from our Nomade range were pleasantly distributed across the stadium lawn, providing a total of 1,760 m² of covered space. Elegant and refined, with white or ivory canvas and wooden poles, these tents offered participants the shade they were looking for on summer days.
- 1 stretch tent of 150 m², again from our Nomade range, was set up in the center of the stadium.
- Two large lounging areas were also set up, featuring elegant deckchairs, coffee tables and parasols.
- Numerous areas dedicated to catering were also scattered around the stadium, along with various foodtrucks. The pallet furniture chosen for this area added a touch of guinguette chic, particularly through its diversity. Harmoniously arranged, this country-style furniture included coffee tables, bar tables and table-tops, some with benches, others with stools.
The numerous partners each had their own meeting space. Comfortably installed under the tents, they were able to welcome their visitors in a convivial setting, thanks to retro-style furniture in rattan or bamboo. This included a lounge area with sofa, armchairs and coffee table, as well as a high table and 3 adapted stools.
A conference area was similarly set up under a tent, with all the necessary furnishings (wooden benches, table, rattan chair...). For major speeches, however, a stage was set up at the foot of the bleachers. Elegant armchairs and low tables ensured that the various speakers enjoyed real comfort.
Collaborative organization for a large-scale event
The success of such a large-scale event, especially when it takes place over a single day, requires flawless organization.
The Parisian events agency overseeing the programming and staging of this congress turned to our company for support in this ambitious project. Atawa's teams were called in to create the various zones designed to welcome visitors and partners, but not only.
We also set up a press area, located in one of the stadium's halls.Journalists were able to attend press conferences away from the hustle and bustle, thanks to the use of conference chairs and tablets supplied by us.
Reception furniture and changing rooms were also made available to the organizers. In addition, we installed the sound equipment needed for the speeches at the conferences, as well as additional lighting.
Atawa rises to the challenge of size and timing
Organizing an outdoor convention is not unusual for Atawa. However, for this MidSommar du Patrimoine, we were faced with two issues.
First, there were the technical constraints of the venue. We had to transport all the equipment for the various structures from the stadium entrance to the pitch, without damaging the pitch.
In order to avoid damaging the turf, we installed rolling plates so that standard machines could circulate without leaving traces. In addition, as it was not possible to attach guy wires to the ground to ballast the tents, the ground had to be protected using the same procedure before imposing concrete blocks were laid.
In addition to these technical difficulties, which added to the set-up time, the timing was extremely tight. As the congress was taking place in a stadium, we had just 24 hours to deliver and set up the 2,200 m² of structures, as well as all the furniture and technical fittings.
Despite the tricky circumstances, and the fact that we had to set up all our fixtures and fittings while the event agency worked on the decorations, the convention was the success we had hoped for!
