Guide - Prepare your event with Atawa

In order to be able to enjoy your event on the big day, follow our recommendations which will guide you step by step.

Before the arrival of the ATAWA teams

Confirm the final reservation 1 month before the date of the assembly. After this date, we will not be able to guarantee a change in your reservation.
Define a person on site to welcome the teams and indicate the location of the infrastructures.
Ensure that access to the set-up site is clear.
Anticipate and take charge of requests for authorisation to set up the facilities if the event is in a public place.

During assembly

Provide water and access to sanitary facilities for the assembly team.
Define a single contact who will liaise with our field coordinator.
Ensure that no equipment or people interfere with the set-up team and the progress of operations.
Unless otherwise specified on the booking, our services do not include the connection of electrical installations. 
Ensure the guarding of the installations between the end of the assembly and the beginning of the dismantling according to the schedule indicated in your reservation.
If the venue allows it, Atawa reserves the right to store equipment and handling equipment on site, in a discreet manner. Please inform us if you do not wish to do so.

During your event 
If your event requires the presence of an Atawa team, please allow for one meal per person (e.g. general duty, technical duty, maintenance of sanitary facilities, etc.). The number of people will be indicated in your reservation.
Please inform us in case of weather changes that could endanger your guests. 

During dismantling 
The venue must be open and accessible according to the dismantling schedule, so that our teams can access the various locations without difficulty.
The site must be cleared of any installations that could impede the dismantling of our teams. 
All equipment must be returned in the condition in which it was delivered. In the event that the equipment is returned in a poor condition, Atawa reserves the right to charge you for cleaning and restoration. If the equipment is missing at the time of collection, you will be charged for the missing equipment or for subsequent collection transport.

Depending on the type of installation carried out by ATAWA
Tents and structures (reception tents, nomadic tents, structures on a bridge, tipis, shade sails, etc.)
Check that no pipes or electrical networks pass under the location of the structure.
Provide a 220 volt electrical outlet to anchor the structure.
Leave the exits free.
If there is a risk of strong wind or rain, close all curtains, doors and emergency exits and check the tension of bracing cables.
Evacuate the tent if the wind exceeds 80 km/h or if the snow depth exceeds 4 cm.
Do not tamper with the structure, interior or exterior, or with the tent fabrics or electrical installation.
Do not use cooking appliances or smoke bombs, or any device that projects flames under the structures.
Notify us as soon as possible if the structure is damaged during your event.
No tape, paint or screws may be put on the structure or floor. In case of damage, Atawa reserves the right to charge for cleaning (if possible and sufficient) or to replace damaged tarpaulins or boards.
The structure must be emptied of all parts before dismantling begins. 
In the event of snow, remove any snow that forms on the tent fabric as soon as possible, to limit the weight and avoid creating water pockets - especially on a crystal fabric. To do this, use a broom brush (not the handle), for example, and handle with care, as crystal fabric is very brittle in sub-zero temperatures.

Furniture and tableware
Unless otherwise specified on the booking, we do not take care of the installation of the furniture we deliver.
The material (furniture, tableware, decorative elements, etc.) must be stored in the trolleys and repackaged in its delivery condition (racks, pallets or other packaging).

Here are a few details:  
- Tables must be folded or dismantled
- Chairs should be covered and stacked
- Dirty glasses must be placed right side up in the bins
- Cutlery must be sorted by type (table forks together, table knives together, dessert forks together, etc.), not mixed with other types of cutlery, and must be placed in the bins provided.


All the equipment, once repackaged, must be collected in the place where the driver left it on delivery. 
In case of non-compliance, you will be charged for the additional cost of collecting the furniture.

Sanitary facilities
The sanitary facilities (cabins, caravans) must be returned in an appropriate state of cleanliness. In the event of excessive wear and tear, ATAWA reserves the right to charge you for a cleaning service.
Please check that the water and drainage connections are correct for the type of sanitary facilities you have booked.

Energy
If ATAWA is not responsible for the power supply to your event, please check the power and electrical supplies you require in relation to the facilities in your booking that require an electrical connection.
