Organising a corporate event outdoors

Organising a corporate event outdoors

Why don't you set the scene outside?

The yard. The car park. The terrace... You spend every day there without suspecting that they could be an excellent setting for your next corporate event. But how? We'll tell you how.

Make the most of outdoor spaces

The venue is the cornerstone of a corporate event. This time, you choose to stay "in situ" and use the outdoor areas. Bold!
You'll be the subject of a lot of grief. A product launch in the rain. A gala on an austere patio. A seminar in an awkward courtyard? Stop right there! Most spaces can be used... and the results are often stunning, provided that you first ask yourself a few basic questions. If the objective of your corporate event is to promote, federate, entertain or thank, the choice of structure will not be the same. The same goes for the season, the duration, the theme, the number of guests, the configuration of the outdoor areas and ... the sacrosanct budget!

A solution for every configuration

Organising an outdoor event means using and adapting what already exists. This means studying the feasibility of the project beforehand, with a lot of technical scouting. Any constraints linked to the location of your business must be taken into account, such as
- the proximity of a neighbourhood, which will require a certain noise level to be respected
- the ground of the outdoor space (is it possible to stake the ground to fix the structure?)
- access to electricity (is a generator required?)
- the presence of employees during the assembly of the event infrastructure, which may or may not be noisy

The configuration of the site is a determining factor in the choice of the structure. Whether it is a huge park, a car park, a north-east facing terrace in the city centre or an inner courtyard, there is a solution for every situation. The advantage of event tents is their adaptability and the possibility of creating a customised environment to suit your needs. A pragmatic service provider will offer you the right formula. Different types of set-up can be imagined depending on the space available and the theme of the corporate event.
Stretch tents, for example, can be placed side by side to form a U shape and plunge guests into a cosy, bohemian and original atmosphere!
Dare to add a chic touch with a translucent geodesic dome or a Crystal tent. It is the ideal module to have the impression of being outside while being sheltered, whatever the season. The transparent structure can be hidden away to blend in with the surroundings.

Safe from the weather... and the unexpected

An outdoor event means keeping an eye on the weather. To avoid the stress of a threatening cloud in a May sky, opt for a structure that will allow you to ensure whatever the weather of the day.
With its open or folded down sides, a Stretch tent can be adapted to your needs and the weather conditions. However, avoid the Crystal tent in the middle of summer. Otherwise you will be exposed to a tropical greenhouse atmosphere.
In December, you don't take too many risks by choosing a closed structure. And to add to the cosy comfort, opt for a carpeted floor. Don't forget heating points to ensure a pleasant temperature throughout the entire event infrastructure. It is important to provide heating even as the summer approaches to compensate for an unexpected drop in temperature, even if it means opening the tent to ventilate and cool the air if necessary.

Decor and lighting, those "details" that count

If the event is held in the evening or under grey skies, lighting must be planned. Be careful! The lighting must also be thought out according to the weather conditions. Some LED spotlights cannot be left on in the rain.
Lighting is also an important part of the decor and atmosphere. A few amber spotlights will warm up a dull weather and underline the volumes of your tructure. If the scene takes place under a geodesic dome in a large courtyard with a fountain, lighting and chic furniture will make it an elegant place. A sober decor and a discreet structure will be appropriate for the inauguration of a health establishment.
In the case of a product launch and if the object to be promoted lends itself to it, play the card of the unexpected: a dome on a snowy track and skilfully directed lights to present an all-terrain vehicle, a Stretch tent on the roof of a building to create a luxury bivouac atmosphere underlined by a Berber decoration to launch a new travel offer. As long as the "product" is valued, a whole range of possibilities is open to you!

Not to mention...

Outdoor spaces also mean accessibility. Make sure that the premises are safe for the public. In this respect, how many guests are expected? Because beyond the size of the structure, this figure allows you to rent furniture, plan access and sanitary facilities accordingly. Who has a good memory of an evening spent looking for toilets or queuing in front of one?
Finally, if your event takes place over several days, plan a security budget for staff to monitor the structure, decoration and furniture.
All you have to do is get started! Still in doubt? Don't hesitate to ask the Atawa teams. From the choice of the structure to its installation and the details that will make the difference, they will guide you.
